How to book a private jet, step by step

A good booking process makes the aircraft, responsibilities and total price clear before you commit. Whether this is your first charter or a regular route, the same core details help the operator assess the mission. Use this checklist to turn an initial enquiry into a reviewable flight proposal.

1. Prepare a complete travel brief

List departure and arrival cities, preferred airports if fixed, travel dates and acceptable time windows. Include every return or onward sector. Add the number of passengers, a realistic luggage list and any pets or assistance requirements. If airports are flexible, send the final addresses.

For a business trip, include meeting times; for a holiday, include resort or marina connections. These details help compare actual convenience rather than a flight plan that looks short on paper but creates a long transfer.

2. Compare specific aircraft proposals

Ask for the exact aircraft model, cabin layout, operator and total price. Confirm baggage space, lavatory arrangement and any feature that affects your decision, such as Wi-Fi or sleeping positions. Photographs should represent the proposed aircraft where available, rather than a generic category image.

Compare included charges and the assumptions behind the schedule. Positioning, minimum billable hours, crew expenses, airport handling and international arrangements can differ. The most useful comparison puts both proposals against the same complete itinerary.

3. Review the agreement before confirming

Read cancellation, schedule-change and substitution terms. Identify the broker’s role and the operating carrier’s responsibilities. Ask what happens if an aircraft becomes unavailable or the preferred airport cannot be used. Do not treat a preliminary enquiry as a reservation.

Complete payment and required passenger documentation through the agreed booking process. Do not send passports, card details or sensitive records through a general contact form. Make sure the person approving the flight has the final itinerary and contract terms.

4. Follow the confirmed departure instructions

The final itinerary should name the airport, private terminal or FBO, reporting time and operational contact. A commercial airline terminal at the same airport may be the wrong place. Ground transport should use the exact terminal address.

Keep the coordinator informed if passengers, baggage or timing change. Bring the identification required for the itinerary. For the return or next sector, reconfirm the terminal and reporting arrangements rather than assuming they are identical to the outbound flight.

Frequently asked questions

What information is needed for a quote?

Provide the complete route, dates, time flexibility, passengers, luggage and any pets or special requirements. Final addresses help when airports are flexible.

When is the aircraft reserved?

A reservation depends on the accepted agreement and the operator’s confirmation. Sending an enquiry alone does not reserve an aircraft.

Should I send passport details in the form?

No. The general enquiry needs operational details only. Use the agreed booking process for sensitive passenger documents.
